Dear Residents,

Following guidance from The University of Texas System, we are asking student residents to check-out of housing. I know this is hard news to take and that many of you want to remain on campus. Students will have until Saturday, March 28, 2020 at 5:00 PM to complete the checkout process.

If you are currently on campus:

In order to check out, students need to:

  1. Complete the Express Check Out Form linked here (will add in once email message is done) on our housing site. As a reminder, students use their UTPB credentials to access the housing site.
  2. Students will indicate the date they are checking out of housing.
  3. Students will need to leave a forwarding address for mail that is received between March 28 and April 10, 2020.
  4. When checking out, students will need to remove all belongings, clean their unit, and then leave their keys and laundry card in a dropbox. Dropboxes are located in the lobby of the Parker Ranch House and Front Desk of the RDH.
  5. Following CDC guidance, UT Permian Basin continues to encourage social distancing. Please communicate with your roommates and coordinate the time for your check out to use this practice.

If you have already returned home but not checked out:

Students are asked to complete the following even if they have left campus:

  1. Complete the checkout process detailed above.
  2. The University does not store personal belongings for students. While packing and shipping is not being offered, students who are absolutely unable to return to campus or make other arrangements should contact the Division of Student Affairs and Leadership at 432-552-2600.
  3. If all belongings have been removed, residents can mail their keys to:

Mail Services

Residence Life and Dining Services recommends that students change their address with each individual company or entity that is sending mail. Mail received after April 10, 2020 will be returned to sender. 

Refund Information

Students who have paid for residence halls and dining plans that they cannot use will be reimbursed or credited for unused portions. The UT System will be providing guidance to campuses on this issue. We will provide additional details about reimbursements or credits for housing and dining after we receive guidance from the UT System. This may take several days or longer. There is no action you need to take; this process will happen automatically after decisions are made.

Petition for Emergency Housing

Students who are unable to check out due to unique or extenuating circumstances, such as those in foster care, international students, families living in family housing, or those with travel restrictions should complete this form. Petitions must be received by Friday, March 20 at Noon.

Employment will generally not be an acceptable reason for remaining on campus. Please note that students who work and rely on their earnings for college expenses can apply for an emergency grant to assist with changes to your work schedule.

Insufficient access to a device or wifi is also not an acceptable reason for remaining on campus. The University will work with you to provide necessary access. Please let us know if you have technology needs by filling out this form.
