Disbursement, Payment, and Refund Process
Disbursement - Financial aid and scholarship awards are used to pay for your tuition, fees, and on-campus housing balance. Federal aid cannot pay the following charges: Installment Plan, Late Payment, Default, Excess Hours Tuition, or Repeat Course. The disbursements dates listed below are the dates when the UTPB Office of Financial Aid applies financial aid to a student's account to pay their bill. It does not represent the date that a student will receive a refund from the university.
Payment - You, the student, are responsible for paying any tuition, fees, and on-campus housing balance your financial aid and scholarship funds did not cover.
Refund - You will receive money back if you or your aid paid more than the amount needed for tuition, fees, and on-campus housing. Refunds are processed through the Office of Accounting and will occur within 14 days of the date that Financial Aid applies any amount that will produce a credit for a student.

2025-2026 Academic Year Disbursement Dates
Fall 2025: August 15, 2025
Spring 2026: TBD - Disbursement occurs ten days before the first day of class
Summer Financial Aid will disburse when you begin the course that fulfills the hour requirement for your specific type of financial aid. For example, if you accepted a loan as an undergraduate student and you are enrolled in 3 credit hours for the summer 1 and 3 credit hours for the summer 2, you will not receive your disbursement until the first day of class for summer 2.
Students that have enough anticipated aid that covers their tuition and fees will not be dropped for non-payment.
If you drop your summer 2 course(s) before the aid is disbursed, you will no longer be eligible for a disbursement and you will be responsible for paying your tuition for the summer 1 course(s) out of pocket. If you accept financial aid and it is not enough to cover your total balance you will be responsible for paying the remaining balance in order to avoid an “Accounting Delinquent Hold.”
